Branch-Specific Libraries

Every branch (account) in Rool has its own asset library. This gives each location a dedicated space for images and videos that are specific to their needs, while still providing access to shared organization-level assets.


How branch libraries work

Your organization's asset library is split into two layers:

  • Organization library -- Shared assets managed by HQ (admins and editors). Every branch can view these.

  • Branch library -- Assets that belong to a specific branch. Only people assigned to that branch (plus admins and editors) can upload and manage them.

When you open the Assets page from the sidebar, you can switch between views using the tabs at the top of the page:

Only assets for a specific branch. If you have access to more than one branch, a dropdown lets you switch between them.


Viewing branch assets vs. organization assets

When you are browsing the Account tab for a particular branch, you will see two types of assets:

  • Branch assets -- Uploaded directly to this branch's library. You can manage, move, and delete these (if you have permission).

  • Org assets -- Shared assets from the organization library. These appear alongside your branch assets at the root level for easy access, but they are read-only. You cannot edit, move, or delete org assets from the branch view.

In the All tab, assets are labeled so you can tell them apart at a glance:

  • Assets from the organization library display an Org badge.

  • Assets from a branch display the branch name as a badge.


Uploading assets to your branch library

  1. Navigate to the Assets page from the sidebar.

  2. Select the Account tab and choose your branch from the dropdown (if you have multiple branches).

  3. Click Upload Assets in the top-right corner.

  4. In the upload dialog, drag and drop files into the drop zone, or click to browse your computer.

    • Supported image formats: JPG, PNG, GIF, WebP (up to 50 MB each)

    • Supported video formats: MP4, MOV (up to 200 MB each)

  5. Review the file list. Files that fail validation will show an error message so you can remove them.

  6. Click Upload to start. A progress bar appears for each file.

  7. When all uploads finish, click Done to close the dialog.

Your new assets appear in the branch library immediately.

Tip: If you are inside a folder when you click Upload Assets, the uploaded files are automatically placed in that folder.


Organizing branch assets with folders

You can create folders to keep your branch library tidy.

  1. Make sure you are on the Account tab with the correct branch selected.

  2. Click New Folder.

  3. Enter a name and click Create Folder.

  4. Click on a folder to open it. A breadcrumb trail at the top lets you navigate back to the root level.

To delete a folder, hover over it, click the three-dot menu, and choose Delete.

Branch-level folders are separate from organization-level folders. A folder created inside a branch library belongs to that branch only.


Viewing asset details

Click any asset card to open the asset detail dialog. From here you can:

  • Preview the image or video at full size.

  • See metadata such as file name, type, size, and upload date.

  • View any tags associated with the asset.

  • Download the file to your computer.

  • Delete the asset (if you have permission).

For org-level assets viewed from a branch, the delete button is hidden since those assets are managed at the organization level.


Sorting assets

Use the sort dropdown in the top-right corner of the Assets page to reorder your view:

  • Newest first (default)

  • Oldest first

  • Name (A-Z)

  • Name (Z-A)

  • Largest first

  • Smallest first

Your sort preference applies to whichever tab and branch you are currently viewing.

  • Admins and editors have unrestricted access across all branches in the organization.

  • Branch members can only see and upload to the branches they are assigned to. If you need access to an additional branch, ask your organization admin to assign you.


Frequently asked questions

Can I move an asset from my branch library to the org library? No. Branch assets and org assets are managed separately. To make an asset available organization-wide, upload it directly to the org library.

Can I use branch assets when creating posts? Yes. When composing a post, you can attach assets from your branch library or from the org shared library.

What happens if I'm assigned to multiple branches? You can switch between branch libraries using the dropdown that appears on the Account tab. The All tab shows assets from every branch you have access to, combined in one view.

Who can see assets I upload to my branch? Admins and editors can see assets across all branches. Other branch members assigned to the same branch can also see them. Members of other branches cannot.
