Rool sends you email notifications to keep you informed about activity that needs your attention -- things like approval requests, content requests, and daily reminders. You can control exactly which emails you receive (or turn them off entirely) from your organization's Settings page.
Your in-app notifications (the bell icon), inbox items, and real-time updates are not affected by these settings. They will continue to work normally regardless of your email preferences.
Opening Email Preferences
Click Settings in the sidebar.
Select the Email Notifications tab along the top of the page.
The Master Switch
At the top of the Email Notifications panel you will find the Enable all email notifications toggle. This is a master switch that controls whether Rool sends you any email notifications at all.
On (default) -- You receive emails according to your category preferences (see below).
Off -- All email notifications are paused. A warning banner confirms that emails are disabled.
When the master switch is off, the individual category toggles are dimmed and cannot be changed until you re-enable emails.
Notification Categories
Below the master switch you can fine-tune which types of emails you receive. Each category has its own toggle:
Category |
What it covers |
|---|---|
Outbound Requests |
Emails about HQ requests sent to branches -- new requests, reminders, and fulfillment updates. |
Post Approvals |
Emails about the post approval workflow -- submissions, approvals, and change requests. |
Content Requests |
Emails about content requests from branches to HQ. |
Daily Reminders |
Periodic reminder emails for pending items that need your attention. |
All categories are enabled by default. Toggle any category off to stop receiving that type of email while keeping the others active.
Saving Your Changes
After adjusting any toggle:
Click Save Changes at the bottom of the panel.
A confirmation message appears when your preferences are saved.
If you change your mind before saving, click Cancel to revert to your previously saved settings. The Cancel button only appears when you have unsaved changes.
Tips
Need a break from email? Turn off the master switch. You will still see everything inside the app -- nothing is lost.
Getting too many reminders? Try disabling just the Daily Reminders category while keeping the others on.
Changed roles or responsibilities? Revisit these settings to match the notification types that are relevant to your current workflow.
