Rool's Asset Library lets you upload images, videos, and design files so your team always has approved media ready for posts. This guide walks you through the upload process, supported file types, and who can upload where.
Supported file types and size limits
Category |

Max size |

50 MB |
Videos |

Images and documents are available instantly after upload. Videos go through a short processing step before they are ready to use (more on that below).
How to upload files
Navigate to the Asset Library from the sidebar.
Click the Upload button to open the upload dialog.
-
Choose your files using one of two methods:
Drag and drop -- drag files from your computer directly onto the upload area.
Click to browse -- click the upload area to open your file picker and select one or more files.
Review the file list that appears. Each file shows its name, size, and an icon indicating whether it is an image or video. If a file has an invalid type or exceeds the size limit, you will see an error message next to it.
Remove any unwanted files by clicking the X button next to them.
Click the Upload button at the bottom of the dialog to start uploading.
Watching upload progress
Each file displays a progress bar as it uploads. You can upload multiple files at once -- they are processed one after another, so you can see exactly which file is currently uploading and how far along it is.
Once all files finish uploading, a green checkmark appears next to each successful file. Click Done to close the dialog.
Tip: Do not close the upload dialog while files are still uploading. If you try, Rool will ask you to wait until uploads finish.
Uploading videos
Videos follow a slightly different path than images. When you upload a video:
Rool validates the file on your device (checking the format and size).
The video uploads directly using a resumable upload connection. This means if your internet connection drops briefly, the upload picks up where it left off rather than starting over -- especially helpful for large video files.
After the upload completes, the video enters a Processing status while it is encoded for playback.
Once processing finishes, the video status changes to Ready and it becomes available in your library.
If you need to cancel a video upload in progress, you can do so and the upload will stop immediately.
Where your uploads go
Assets in Rool are organized at two levels:
Organization library -- shared assets visible to everyone in your organization.
Branch library -- assets specific to a particular branch (account/location).
When you open the upload dialog, your files are saved to whichever library you are currently viewing. If you are looking at a specific branch's library, the uploads go to that branch. If you are in the organization-level library view, they go to the org library.
You can also upload directly into a folder if you have one open when you start the upload.
Upload permissions
Not everyone can upload to every library. Here is how permissions work:
Role |
Org library |
Branch library |
|---|---|---|
Admin |
Yes |
Yes (all branches) |
Editor |
Yes |
Yes (all branches) |
Branch Member |
No |
Only branches they are assigned to |
In short:
Admins and Editors can upload assets to the organization library and to any branch library.
Branch Members can upload only to the branch libraries they are assigned to. They cannot upload to the organization-level library.
If you do not have permission to upload to a particular library, the upload button will not be available in that view.
Troubleshooting
"Invalid file type" error -- Make sure your file is one of the supported formats listed above. Some uncommon image or video formats are not accepted.
"File too large" error -- Check the size limits: 50 MB for images, 200 MB for videos, 100 MB for documents.
Video stuck on "Processing" -- Video encoding usually takes a few minutes. If a video stays in processing for an extended period, try uploading it again.
Upload fails partway through -- Check your internet connection and try again. Video uploads are resumable, so large files are more resilient to brief network interruptions.
"Permission denied" message -- You may not have the right role to upload to the library you are viewing. Ask your organization admin to check your access.
