Your Inbox is the central place to stay on top of everything that needs your attention in Rool. Instead of checking multiple screens for approvals, content requests, outbound requests, and notifications, the Inbox brings it all together in one unified view.
How the Inbox Is Organized
The Inbox uses a three-column layout:
Item list (left) -- A compact, scrollable list of all inbox items. Each row shows a title, a short preview, who triggered it, a status badge, and a timestamp.
Detail pane (center) -- When you select an item from the list, its full details appear here. Depending on the item type, you may also see action buttons (for example, Approve or Reject).
Activity panel (right, desktop only) -- For post-related items, a collapsible panel shows post details and activity history. On mobile, tap the floating action button in the bottom-right corner to open this panel.
Inbox Categories
Every item in your Inbox belongs to one of five categories. What you see depends on your role in the organization.
Pending Approval
Items that are waiting for you to review and approve. These appear for Admins and Editors when a team member submits a post for approval.
You can Approve, Request Changes, Reject, or Edit the post directly from the Inbox without navigating away.
When you choose Request Changes or Reject, you will be asked to provide feedback (at least 10 characters).
Approval Response
Updates about posts you created that have gone through the approval process. You will see items here when your post is:
Approved
Rejected (with the reviewer's reason)
Changes Requested (with feedback explaining what to update)
Scheduled or Published
If changes were requested, you can click Edit to jump straight into editing the post.
Content Request
Content requests flow between branch users and HQ.
HQ users (Admins/Editors) see new content requests submitted by branches, so they can review and act on them.
Branch users see status updates on requests they submitted, such as when a request moves to In Progress, Completed, or Declined.
Click View Request to open the full request details.
Outbound Request
Outbound requests are sent from HQ to branches asking for information or action.
Branch managers see pending requests from HQ that need their response.
HQ users (Admins/Editors) see a summary of how branches are responding -- for example, "3 branches pending response" or "2 branches responded."
Notification
General notifications that do not fit into the categories above, such as mentions, comments, or other activity updates. Each notification shows a message and, if applicable, a link to view the related item.
View Modes
At the top of the item list, you will find a toggle to switch between two view modes:
Active (default)
Shows only items that need your attention right now. This includes:
Posts awaiting your approval
Recent approval responses (within the last 7 days)
Content requests that need action
Outbound requests with a pending status
Unread or recent notifications
When you have cleared everything, you will see a "You're all caught up!" message.
All
Shows a full history of activity, including items you have already acted on. Use this mode when you want to look back at past approvals, completed requests, or older notifications.
Filtering by Category
Below the view mode toggle, use the filter tabs to narrow the list:
All -- Every item across all categories. A badge shows the total count.
Approvals -- Only pending approval items. A badge shows how many posts are waiting for review.
When a filter is active, only items from that category appear in the list.
Read and Unread Items
The Inbox tracks which items you have seen and which still need your attention:
Unread items display a small blue dot on the left side of the row and have a light blue background.
Read items have no dot and appear with a plain background.
Selecting an item in the list automatically marks it as read. If you want to mark everything as read at once, click the checkmark icon button at the top of the item list (this button only appears when you have unread items).
Taking Action from the Inbox
One of the most powerful aspects of the Inbox is that you can take action without leaving the page:

After you complete an action on a pending approval, the Inbox automatically advances to the next item in the list so you can keep moving through your queue.
Sidebar Badge
You do not need to open the Inbox to know items are waiting. The Inbox item in the sidebar displays a count badge showing the total number of unread and actionable items across all categories.
Tips
Work through approvals quickly -- Use the Active view to focus on what needs your attention, then approve or give feedback directly from the Inbox.
Switch to All view for context -- If you need to reference a past approval decision or check the history of a content request, toggle to All.
Check the activity panel -- When reviewing a post for approval, expand the activity panel on the right to see the full history of changes and comments.
