Tracking Your Requests

Once you've submitted a content request, you'll want to keep an eye on its progress. Rool gives you several ways to track your requests, see status updates, and view the finished content when it's ready.


Finding your requests

Sent Requests page

Open Requests in the sidebar and click Sent. This page shows every content request you've created, with the most recent at the top. Each request card displays:

  • The request title and a short preview of the description

  • A priority badge (Urgent, Normal, or Low)

  • A status badge showing where the request stands

  • The target accounts (locations) the request is for

  • The due date (or how long ago you submitted it, if no due date was set)

  • Counts for any linked posts or comments

Filtering your requests

The Sent page includes a filter bar to help you find what you're looking for:

  • Status -- Filter by one or more statuses (e.g., show only Submitted and In Progress requests). Select multiple statuses to combine them.

  • Priority -- Narrow the list to Urgent, Normal, or Low priority requests.

The total count of matching requests appears on the right side of the filter bar. To clear your filters, set each one back to its default.


Understanding request statuses

Every content request moves through a series of statuses as HQ works on it. Here's what each one means:

Status

What it means

Draft

You started the request but haven't submitted it yet. You can still edit and submit it.

Submitted

Your request has been sent to HQ and is waiting for them to pick it up.

In Progress

HQ has started working on your request.

Completed

HQ has finished creating content for your request. At least one post has been linked to it.

Declined

HQ was unable to fulfill the request. A reason will be provided.

Statuses are color-coded throughout the app so you can spot them at a glance -- gray for Draft, blue for Submitted, yellow for In Progress, green for Completed, and red for Declined.

Overdue requests

If a request has a due date and it hasn't been completed by that date, it will be flagged as Overdue with a red warning indicator on the request card. This helps you quickly identify requests that may need a follow-up.


Viewing request details

Click any request card to open the full request detail page. This page is organized into two columns:

Main content (left side)

  • Header -- The request title, priority badge, status badge, and category. If the request is still in Draft or Submitted status, you'll see an Edit button to make changes.

  • Description -- The full description you provided.

  • Decline reason -- If the request was declined, a highlighted box shows the reason HQ provided.

  • Requester info -- Your name and how long ago the request was submitted.

  • Target Accounts -- The list of accounts (locations) the request is for.

  • Timeline -- Whether this is a one-time request or a date range, along with the due date.

  • Attachments -- Any media files, links, or documents you included with the request, organized into tabs.

  • Linked Posts -- Posts that HQ has created to fulfill your request (more on this below).

Comments (right side)

A comment thread lets you communicate with HQ about the request. Both you and HQ team members can leave comments -- for instance, to ask clarifying questions, provide additional details, or share progress updates.


Getting notified about updates

You don't need to check the Sent page constantly. Rool sends you notifications whenever something changes on one of your requests:

  • Status changed -- You'll be notified when HQ moves your request to In Progress or marks it as Completed.

  • Request declined -- If HQ declines your request, you'll receive a notification that includes a preview of the reason.

  • Content created -- When HQ creates a post linked to your request, you'll get a notification with the request title.

  • New comment -- Any time an HQ team member comments on your request, you'll be notified.

Notifications appear in your Inbox. Open the Inbox from the sidebar to see all your updates in one place.


Viewing fulfilled posts

When HQ creates content to fulfill your request, those posts are linked directly to it. You can find them in the Linked Posts section at the bottom of the request detail page.

Each linked post shows:

  • When the post was created

  • The post's current status (e.g., Draft, Scheduled, Published)

Click any linked post to open it and see the full content, including the caption, media, and which accounts it's targeted to.

A request can only be marked as Completed once at least one post has been linked to it, so whenever you see a Completed status, there will always be content to review.


Editing a request

You can edit a request as long as it's still in Draft or Submitted status. Once HQ starts working on it (In Progress), the request is locked for editing.

To edit, open the request detail page and click the Edit button in the top-right corner of the header card. This takes you back to the request form where you can update any field.


Tips for staying on top of requests

  • Set a due date when creating your request so both you and HQ can track deadlines.

  • Use priority levels to signal urgency -- Urgent requests stand out in the list.

  • Check your Inbox regularly for status change notifications rather than manually refreshing the Sent page.

  • Use the comment thread to ask for updates or provide extra context, rather than creating a duplicate request.

  • Filter by status on the Sent page to focus on active requests (Submitted or In Progress) and hide completed ones.
